The WWF (World Wide Fund for Nature) Mediterranean Programme Office  in Rome ("WWF-MedPO"), is looking for a Project Administrator (PA) to be based in Rome who will support the Director of Operations and the Programme Administrator on the fulfillment and execution of the administrative duties related to the MedPO environment conservation Projects as well as on the payroll and logistic administration duties of the MedPO Rome Office.

Main functions will include (at minimum)
  • Support onthe preparation of new projects submissions
  • Project budgetary control and budget revision processes.
  • Administration of donors and providers contracts.
  • Review of project partners financial reports.
  • Support on the preparation of the MedPO projects financial reports to donors
  • Assistance on the coordination of the logistics forprojects’ meetings and workshops
  • Support onthe organization of travel and accommodation for the WWF MedPOstaff andreview of mission expenditure reports
  • Visit to project partners in countries where MedPO field work is implemented for administrative checks
  • Support on settingup and maintaining the MedPO electronic and paper filing system
  • Support on the administrative aspects in relation staff monthly presences tracking system and payroll .
  • Support on the administrative processes in relation to the MedPO office service providers ensuring the respect of WWF procurement rules.
  • Other project administration and accounting duties and tasks as required.
               Working Relationships:
Internal: Interacts regularly with, the  Director of Operations , the Marine Programme Administrator  , the  Accountant, and in general with the MedPO Team in Rome or  in the regional offices outside Italy.
External: Interacts with a wide variety of people, including partner organizations, external consultants, donors, suppliers, external payroll consultant travel agencies, hotels, service and facilities providers.
               Minimum Qualifications:
Knowledge:         
A university degree in Accounting, Administration and Finance, Economics, Management or related field. Knowledge of commercial, tax and labour legislation in Italy  (knowledge of legislation on  nonprofit organizations an advantage). Advanced user of MS Office applications, with particular regards to the Excel spreadsheets, and accounting software.
Experience:          
At least three years of working experience in F&A department in private or non-profit sector, accounting/audit or consultant firms. Experience on administration of projects in the non-profit sector an advantage.
Skills and Abilities:
Excellent organizational and computer skills, the ability to analyze, set priorities, complete work with minimal supervision and meet deadlines .This position requires initiative, flexible, friendly and cooperative personality. Interest in nature conservation would be an asset.  Fluency in English and Italian (working knowledge of French  a distinct advantage). Availability to travel.

Type of contract:  fix term 18 months employment under the Italian labour law with 6 months probation period and possibility of renewal at contract end.
